A day in the life

What your Monday looks like
when your studio runs itself.

A morning in the studio. No chasing invoices. No hunting for last week's notes. No “quick question” texts at 8:47pm.

7:42 AM
Your day, already ready.
Business View
Open the app. Today's lessons, today's income, and anyone past due are on one screen. The calendar is already locked in.
9:00 AM
Liam's lesson.
Teaching View
After the lesson you flip to Teaching view, tap a student's name, and update progress on the current milestone. Completion rate ticks up. Takes 20 seconds.
11:30 AM
A parent asks “how's it going?”
Parent Portal
You don't scramble. The parent already has portal access. They see the portfolio, active milestones, and this month's invoice status in one place.
2:00 PM
Invoices go out. Without you.
Billing
PWHQ generates this month's invoices from each student's recurring plan using your custom templates. Auto-send fires. You stop hand-rolling invoices.
5:30 PM
Last lesson done. That's a wrap.
End of day
No paperwork pile. No “I'll do invoices Sunday night” dread. Tomorrow's schedule is already ready. You close the laptop and go live your life.

Everything a studio needs. Nothing it doesn't.

Split into two halves, because they're different jobs. PWHQ does both of them well.

Business SideRun the studio like a real business

Smart calendar with recurring lessons

Weekly or full-week view. Every student block shows instrument and duration at a glance.

Custom invoice templates

Build your own invoice layouts with a live preview as you go. Assign templates per student. Recurring auto-creation, auto-send, or manual review.

Payment tracking that doesn't miss

Mark invoices paid. Track outstanding balances. See who owes what at a glance instead of digging through messages.

Automated reminder emails

Lesson reminders fire two days out. Per-student toggle for when a family prefers silence. Invoice reminders stay just as polite.

Reports that actually answer questions

AVPS (average value per student), projected monthly income, hours worked by day. Filter by student or payment method.

Student profiles with real detail

Billing model, instrument, lesson length, recurring time. Tenure tracked quietly so you always know who's been with you longest.

Teaching SideThe part most SaaS forgets

Exercise Library

Build your own reference collection. Link specific exercises to students or lesson plans. Stop re-explaining the same thing seven different ways.

Lesson Plans per student

Plan a student's next month. Tie it to their milestones and active portfolio pieces. Review from the lesson screen, not a separate notebook.

Practice tracking with milestones

Students log practice. You set milestones. The dashboard surfaces who needs attention and who's ready to level up.

Student Portfolios + Parent Portal

Every student gets a page of pieces learned, in progress, and performances. Parents log in to see it. You stop having to explain “how's it going?”

Performance & recital tracking

Recitals, auditions, gigs. Log them. Tie them to the student. A visible body of work builds over time, for you and them.

Attention lenses

“Needs attention” surfaces students who haven't practiced this week. “Ready to level up” shows who's pushing 80%+ completion. Teaching dashboards that think like a teacher.

My dad's been teaching music for most of my life. He's brilliant at it. He is not brilliant at spreadsheets.

My dad runs a full-time private music studio with 60+ students. For years, he ran it on text messages, paper calendars, and a lesson notebook he kept losing. It worked. Barely.

I'm a software builder. I tried to find him something off the shelf. What was out there was either built for giant music schools, priced like I was a giant music school, or clearly designed by someone who'd never actually met a music teacher.

So I built PracticeWorksHQ. He's the primary user. Every feature has been stress-tested against a real studio with real students and real parents sending “quick questions” at 8:47pm. The roadmap isn't driven by what looks good in a pitch deck. It's driven by what makes my dad's Monday morning easier.

If it works for his studio, it'll work for yours.

The fair questions.

Our first 50 paying studios get locked-in pricing at $9.99/mo (never raised), direct access to me for feature requests and support, and an early-adopter badge on their account. The program closes at 50 signups. That's the whole thing.
Yes. The Free tier gives you up to 10 students with scheduling, invoices, dashboard, and your own branding, forever. Perfect for a side-studio or kicking the tires. If you grow, upgrade to Pro. If you don't, keep using it for free.
If you can use email, you can use PWHQ. Most solo teachers are fully set up in under 10 minutes: account, student list, lesson times, done. No migration team, no onboarding call required (but you can have one if you want).
PWHQ tracks invoices, recurring billing schedules, and what's outstanding. You record payments as they come in (Venmo, Zelle, cash, check, whatever you use). Native online payment processing through PWHQ is on the roadmap and coming soon — for now, you get the tracking layer that makes whatever payment method you use actually visible.
Business view is about running a studio: scheduling, invoicing, payment tracking, reports. Teaching view is about the actual craft: exercise library, lesson plans, practice tracking, milestones, student portfolios. Flip between them in the sidebar. Most platforms do one well. PWHQ does both.
